RCPCH Incubator Privacy Policy

We take the privacy and data security of people who engage with our Incubator forum seriously. This privacy notice explains how we use your information and how we keep it secure, in line with UK data protection laws.

The RCPCH Incubator program is a resource for clinicians who want to create digital solutions, offering advice and guidance on how to create and implement digital projects.

EEA and Swiss residents

If you are a resident of the EEA or Switzerland, please visit our dedicated page. There you can find the contact information for DataRep, who act as our point of contact for EEA and Swiss residents’ and supervisory authorities, as we do not have a branch or office in the EEA or Switzerland.

What information do we collect about you?

We collect information from you when you register on our site and gather data when you participate in the forum by reading, writing, and evaluating the content shared here.

When registering on our site, you may be asked to enter your name and e-mail address. You may, however, visit our site without registering. Your e-mail address will be verified by an email containing a unique link. If that link is visited, we know that you control the e-mail address.

When registered and posting, we record the IP address that the post originated from. We also may retain server logs which include the IP address of every request to our server.

Why do we collect this information?

Data protection law requires that we have one or more of the following legal bases to process your information.

“Legitimate interest” - where we have assessed that the benefits of us processing your data are legitimate and not outweighed by your interests or legal rights.

Specifically, we will use your personal data for the following purposes:

  • To personalize your experience — your information helps us to better respond to your individual needs.

  • To improve our site — we continually strive to improve our site offerings based on the information and feedback we receive from you.

  • To improve customer service — your information helps us to more effectively respond to your requests and support needs.

  • To send periodic emails — The email address you provide may be used to send you information, notifications that you request about changes to topics or in response to your username, respond to inquiries, and/or other requests or questions. We use cookies to understand and save your preferences for future visits and compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future. We may contract with third-party service providers to assist us in better understanding our site visitors. We will keep your data for as long as you have an Incubator user account.

Transferring information outside of the UK

To provide some of its products and services RCPCH Incubator may use data processors that transfer and process information in countries outside of the UK. Some of these countries, such as those in the EEA, will have an officially recognised equivalent level of protection to the UK (adequacy decision). A list of these countries can be found via the ICO website. Where there is no adequacy decision, RCPCH and RCPCH Incubator will take all reasonable steps necessary to ensure that your information is protected by having in place a recognised safeguard with partners and suppliers, such as regulatory approved UK International Transfer Agreements, Binding Corporate Rules or Codes of Conduct.

Understanding your data rights

You have the following rights in relation to your data:

  • Right of access - you can ask us for a copy of the information that we hold about you.

  • Change any factual errors or inaccuracies (right of rectification). It is your responsibility to update us of any changes to the personal information you have provided.

  • Delete your personal data (called a right to erasure).

  • Restrict the use of your data (right of restriction). You can request that we deactivate your RCPCH Incubator account.

  • Object to processing (right to objection). You can ask that we stop using data that is not necessary for fulfilling our legal obligations.

If you make a request, we have one month to respond to you.

How to contact us or complain

If you are unhappy with how we are using your personal data, you should contact us in the first instance so that we can understand and try to resolve your concern. If we cannot resolve the issue, you have the right to complain to the Information Commissioners Office (ICO). The ICO is the UK’s independent body set up to uphold information rights.
